STEP-BY-STEP LEASING GUIDELINES




THE RENTER’S AGENT

The Renter’s Agent represents the prospective tenant(s) and is designated as the main point of contact during the lease transaction; commission is paid to assist as follows:
 
-  Show the property and represent the prospective tenant(s) in rental negotiations
-  Submit all applications and required documents, and assist with verifying references, if needed
-  Communicate approval and lease stipulations, if any, and confirm tenant(s) move-in date
-  Communicate lease process and forward payment instructions to tenant(s)
-  Review the lease agreement with tenant(s); sign acknowledgment of lease receipt and review
-  Communicate with leasing office any and all tenant questions or concerns
-  Review the move-in packet/notebook with tenant(s) and supply tenant(s) with a copy
-  Confirm move-in funds have been paid to the leasing office prior to releasing keys
-  Coordinate the key release, lockbox and sign removal
-  Submit a signed brokers agreement and W9 for lease commission

THE SECURITY DEPOSIT + MOVE-IN FUNDS

- Coordinate delivery of the security deposit to the leasing office within 72 hrs. of app approval; at this time, a move-in packet/notebook will be given

- Coordinate delivery of remaining move-in funds to the leasing office prior to move-in

- Payment instructions to tenant(s) - Certified funds only (cashier's check and/or money order only - no exceptions) and made payable to "AMERICAN RESIDENTIAL PROPERTIES"


THE LEASE

- The lease is sent to the Renter's Agent for review via DocuSign BEFORE the lease goes to the tenant(s)

- Renter's Agent will acknowledge review by electronically complete info where designated

- NOTE: Renter's Agent is not signing the lease for the tenant, they are simply reviewing the lease for changes and completing the Broker's Agreement

- Contact leasing office if there are requested changes and/or lease questions PRIOR to completing DocuSign process

- If no lease changes or questions, complete DocuSign process and lease will then be automatically routed to the tenants for review and electronic signature

- A final copy of the lease will be sent to all parties via DocuSign once everyone has signed


MOVE-IN INSTRUCTIONS

- An instructional e-mail is sent to the Renter's Agent upon approval, e-mail will include the following:

- A breakdown of the required move-in funds & payment instructions

- A tenant move-in packet that includes:

    1.  MIMO - a move-in condition form (will need to be completed and returned upon move-in)
    2.  Maintenance Repair Request Form and instructions on submitting repair requests
    3.  Online payment enrollment instructions
    4.  Local utility provider information

- A W9; required to process lease commissions

- Forward payment breakdown and move-in packet to new tenant(s)

- Confirm all move-in funds have been paid to the leasing office before releasing keys

- Coordinate the release of keys with the new tenants - owner has done a final preparation of the property and has put all keys in the lockbox for Renter's Agent to distribute

- Remove the rental sign and lockbox from the front door, deliver to the leasing office, along with a copy of your broker's W-9, if not yet done so.
